XC Roster Preparation 101

Ohio's Cross Country season started last weekend with the OHSAA Early Season Invitational.   For that, of course, it is likely you will need to have your roster ready for online registration at some point in the season. More cross country meets than ever are using MileSplit online registration this fall. And for that you'll need to have your team roster up-to-date. Even if you do not use MileSplits free online registration system, here's how you update your team roster on Ohio MileSplit:

1. Register as a team admin for your school if you are not already.

Most of your are already registered coaches for your team. If, however, you are not, here are the steps to follow.

1. Register as a MileSplit user (no need to do this again if you are already a registered user).

2. Go to your school admin page (Teams/your school) and click on the Claim This Team box directly below your school name.

3. Fill in the requested information. That will go to me as an approval request and should be approved within 5 - 10 hours (often much faster). If you do not see that e-mail, check your spam filter. You will get an e-mail indicating you are now a registered team admin, at least as long as you have provided a valid e-mail address.

2. Go to the admin portion of your team page.


While you are logged in, go to your team page. Click on the Team Manager button that now appears below your school name. This brings you into Team Admin mode.

On the left-hand side of the Team Admin page, you will note that one of the options in the left-hand column of the page is Roster. Click there. This will take you to the roster page where you will find your existing team roster and several editing options as shown below:

Please follow these steps:

1. Locate any athletes without years of graduation listed. Click on the athlete name of any of these athletes, add a year of graduation and save. If this is an athlete who has already graduated, this will remove them from this page and put them on the Alumni page.

2. Check the box of any athletes who have left your school or are definitely not out for either track or cross country any longer. Once all those boxes are checked, click the Make Inactive button. This will run a line through the name of any such athletes. The only place you will then see these athletes on your roster is on this page.

3. Note that all athletes have an XC, TF, or XC TF beside their names. This is your means of designating which online registration roster you want those names to appear under (all active athletes, regardless of season designation, will appear on your school team page). Please do not make inactive any athletes who are part of track, but not part of cross country. Simply click the box next to the name of each of those athletes and click on Remove from XC. Doing so will remove these athletes from the pool of available athletes for online registration for track season.

4. If you have any inactive athletes you need to make active for cross country season, click on the box next to each of their names and then click on Make Active.

5. If you have any athletes who will be out for cross country but have only a TF beside their names, click on the box next to their names and then click on Add to XC.

6. Now you will want to add any athletes who are new to your team for the season. To do this, click on the Add Athlete button. When adding athletes, include a first name, last name, and year of graduation. No other information is necessary. You will not be able to register the athletes for a meet without a year of graduation, so please include it now. As long as you have new athletes to continue adding, simply click on Add New Athlete for each new individual. Many of you have athletes coming up from middle school who already have a MileSplit profile. If you want to send me a list of athletes whom you think have existing middle school profiles, I will be happy to graduate them to your high school roster.

Congratulations! Your roster is now up-to-date.

Please note: If you find any duplicate athletes (even if one is active and one inactive), please send me an e-mail on those and I will merge those athletes. Also, if you scroll down a little on your main team page (before you click team admin), you will note a listing of all current team admins for your school. If you see individuals on that list who are no longer coaching at your school, please send me a note about those as well, and I will remove them.
