2013 Van Wert County Hospital Cross Country Invitational
Dear Athletic Director/Coach:
Enclosed is the information for the 35th annual Van Wert County Hospital Invitational held on September 21st. Following is a list of important information items regarding the invitational.
Location: The race is held at the Van Wert Reservoir, just east of the Van Wert County Hospital.
Entries: All entries will be done through www.oh.milesplit.com. Entry window opens on Sept 4, 2013 and will close on Sept 18, 2013. Your entries must be in by the entry deadline or you will be subject to the cost of the change. Remember to enter all possible athletes, no changes will be made on race day, NO EXCEPTIONS!
Time Schedule:
8:00 a.m. Team Registration-pick up team packets
8:30 a.m. Elementary run (1 mile)
9:00 a.m. Junior High Girls-both divisions
9:30 a.m. Junior High Boys-both divisions
10:00 a.m. Varsity Girls-Scarlet Division
10:30 a.m. Varsity Girls-Gray Division
11:00 a.m. Varsity Boys-Scarlet Division
11:30 a.m. Varsity Boys-Gray Division
12:15 p.m. Awards
----Please have your athletes to the starting line 15 minutes prior to each race.
----The JH boys/girls race with be combining both the scarlet/gray divisions.
----There will be no junior varsity races, standard scoring applies. Top 5 individuals on each team count toward the team score, runners 6 and 7 will act as displacers, runners 8+ will receive a time, but overall place will not affect the team score.
----Teams with less than 5 runners will not be counted in the team scoring, but are still eligible for individual awards.

Varsity Awards: Team Top 3 schools-team trophy
Individual 1st-5th plaque
6th-20th medals
JH Awards: Team Top 4 schools-team trophy
Individual 1st plaque
2nd- 20th medals
Elementary run: Plaque to boys and girls individual winner in each division.
Participation ribbons to all finishers.
----All awards will be passed out at the awards ceremony.
----Concessions and T-shirts will be on sale.
Participating schools: Schools may elect to run up a division- Gray to Scarlet, however, you may not go from Scarlet to Gray!

Facilities: There will be eight portable toilets located at the reservoir for your convenience. Teams are asked to come dressed and ready to compete. All participants/coaches/fans are to stay out of the hospital unless it is a medical emergency. Water will be provided for each runner after his/her race at no charge. There will be a concession stand selling food and beverages throughout the day. Please inform your runners so that they have money available.
Course: Please see the enclosed map to view the course. The course is basically composed of a grass surface. It is flat with the exception of 1 uphill to get to the top of the reservoir at the mile mark.
T-shirt: Please remind your runners that t-shirts will be on sale near the concession stand for $12.
Team Camp: All team camps must be set up in Heidstands Woods Park or along the east side of the front reservoir. NO CAMPS will be allowed along the finishing straight.
Bus Parking: You may drop off your athletes near the finish line-then busses will be directed to park across the west side of U.S. 127 at the Medical Arts parking lot.
